What Your Crew Leader Actually Does at Your Event
On larger Boomtown events, a dedicated Crew Leader runs your entire bar. They are not just the most experienced bartender on the team. They are the manager, the decision-maker, and your single point of contact for anything bar-related on the day of your event. We recommend a dedicated, non-pouring Crew Leader at 150 guests and require one at 200 guests. Below that, your lead bartender runs the bar.
Before Service: Setup Command
Your Crew Leader arrives first and owns the setup:
- Walks your venue and finds the best spot for the bar based on traffic flow, power access, and how close it sits to your guests
- Organizes all of your alcohol so bottles are arranged for speed
- Assigns stations and roles to each bartender
- Preps garnishes, cuts fresh citrus, and batches any pre-mixed components
- Sets up ice, tools, and any glassware you have provided
- Confirms timing with your event coordinator or wedding planner
During Service: Real-Time Management
This is where your Crew Leader earns their keep:
- Flow management: They watch the line and adjust. If one side of the bar starts backing up, they redirect guests or open a second service point so nobody waits long.
- Pace control: They read the energy of your event. Cocktail hour is fast and high-volume, dinner slows down, and late-night dancing picks back up. Your Crew Leader shifts staffing and focus for each phase.
- Responsible service: Your Crew Leader makes the hard calls. If a guest has had too much, they handle the conversation professionally, firmly, and without making a scene. They are trained for exactly this.
- Inventory management: They track what is being poured in real time. If a spirit runs low, they adjust the menu or quietly check in with you about options.
- Problem solving: The thing you never planned for (a bottle breaks, a guest has an allergy, the ice runs late) gets handled by your Crew Leader without ever landing on your plate.
After Service: Clean Close
- Manages breakdown so everything is packed, organized, and removed
- Separates opened from unopened bottles so your returns are easy
- Leaves your bar area cleaner than they found it
- Gives you a quick debrief: how service went, anything that came up, anything worth noting
